Tips for Reporting Accurate Membership Numbers

There are several things you can do to ensure your memberships are reported correctly:
  1. Be sure your SKUs are updated with new Expiration Dates before you start sales for the new year.
  2. Duplicate your old form and edit it to make a new one rather than using last year's form.
  3. Do NOT set up your Membership Form as a Guest Form. "Guest" users don't have an account and therefore will not be tagged as members.
  4. For Memberships purchased offline - create actual orders in the system that are linked to your Membership Form instead of granting Membership manually.
  5. If you must Grant Membership Manually, be sure to set a "starting" membership date. See our article on Editing Membership Status for more information on this.
  6. The Members list from the People tab pulls a list of all non-expired members.

Membership Report
The Membership Report is always the go-to report when you want to know how many memberships you currently have in your system.
  • Go to People / Reports.
  • Set the date range for the report. This is the date when your memberships were purchased or started. This allows you to submit one report now and then run a report in a month that only includes the new members in the last month.
  • To be counted as a current member in the system, you must have membership status.

Membership status is not granted until a membership order has been paid or membership has been manually applied by an Admin.
Membership Orders with a Balance Due won't be counted toward membership numbers until the orders have been paid.
  • To find these go to the form report and filter for orders with a balance due. Be sure to set your date filters to capture all of the membership sales for this year.


Summary Report for Membership Form
This report shows the total number of each Membership SKU that was sold on the form.
  • Go to Store & Forms / Forms / Summary Button.

Form Report for Membership Form
The form report tells you how many items were purchased and includes all orders placed on the form.
  • Go to Store & Forms / Forms / Form Report Button.

Ordered Items Report
The ordered items report tells you how many items were purchased in each SKU Category.
  • Go to Store & Forms / Reports / Ordered Items.

Dashboard
The "Members" number on the Dashboard shows the number of memberships that have been applied. It includes all contacts (even external contacts that might have been given membership manually.)
