Volunteer Reports

Volunteer Form Report


The Volunteer Form Report is a report at the Volunteer Form Level that lists the volunteers who signed up on that volunteer form.
  1. Go to Dashboard / Volunteers/ Summary tab.  (You can also access this same information by going to Volunteers / Forms.)
  2. Click on the hyperlink number under Unique Volunteers for the volunteer form.


The on-screen report allows you to:
  1. Download to excel
  2. Email the volunteers
  3. View/edit each person's contact and volunteering information


If you would also like to know which opportunities each person signed up for, there are two options in Excel:
  1. Go to Dashboard / Volunteers/ Summary tab.  (You can also access this same information by going to Volunteers / Forms.)
  2. Click on the blue hyperlink form name in the Volunteer Form Title column.
  3. Select Download Matrix or Download Detail.


1. Download Matrix - Allows you to view the report by volunteer name.



2. Download Detail - Allows you to view the report by each Opportunity.




Slots Volunteered vs. Unique Volunteers


From the Volunteers / Summary screen, you can see the summary of your currently Active Volunteer forms as well as the number of Slots Volunteered and Unique Volunteers for each form.

1)  Slots Volunteered shows you the number of volunteer opportunities or volunteer slots that have been filled on each form.

2)  Unique Volunteers shows you the number of people that have volunteered on that form.  Clicking the blue number presents you with a list of the unique volunteers.  It does not duplicate the name on the list if a person signed up for more than one volunteer slot.


So, in the example below, 21 people have signed up for a total of 51 volunteer opportunity slots on the Volunteer Opportunities form.



Volunteer Report by Volunteer Name


You can view the complete list of volunteer slots/opportunities that each person has signed up for by going to:
  1. Dashboard / Volunteers / All Volunteers
  2. Click on the blue hyperlink number under "Slots"


From this screen you can also:
  1. download the information to excel
  2. email the volunteers
  3. view/edit contact and volunteer information

Volunteer Report by Volunteer Opportunity


If you want a list of people who signed up for a particular activity or date/time slot, you can generate a report for a specific volunteer opportunity.
  1. Go to Dashboard / Volunteers.
  2. Select the correct form.
  3. Find the correct opportunity and click the hyperlink number in the "Count" column.


The on-screen report allows you to:
  1. Download to excel
  2. Email the volunteers
  3. View/edit each person's contact and volunteering information


If you want to view an Excel spreadsheet of all Opportunities on a Volunteer Form:
  1. Go to Dashboard / Volunteers/ Summary tab.  (You can also access this same information by going to Volunteers / Forms.)
  2. Click on the blue hyperlink form name in the Volunteer Form Title column.
  3. Select Download Matrix or Download Detail.

Volunteer Hours Report

There are two options for viewing Volunteer Hours information:

1. On-screen - This report produces an on-screen list of all volunteer hours for a given date range.
  1. Go to Volunteers / Reports / Volunteer Hours.
  2. Set the range of dates and then Refresh.
  3. You can add hours by clicking on the user's name.
  4. You can delete hours by clicking the red trash can icon.


2. Excel - This report produces an Excel spreadsheet of all volunteers for a given date range.
  1. Go to Volunteers / Reports / Volunteer Hours Report.
  2. Set the range of dates and then Download to Excel.

Volunteer Matrix Report


This report produces an Excel spreadsheet that includes all volunteers and all of the volunteer opportunities they have expressed interest in. This can be a very large spreadsheet!
  1. Go to Volunteers / Reports / Volunteer Matrix.
