Setting Up a Volunteer Kiosk

Activate Kiosk Mode


To set up a volunteer check-in station, you must first set up a kiosk for use.
  1. Go to Volunteers / Kiosks.
  2. To create a new kiosk, click the "activate kiosk mode" button.
  3. Once a Kiosk is activated, it will be active until it expires or until the browser being used for display is closed.


1. Kiosk Name - Give your kiosk a name for reporting purposes.
2. Expiration Date/Time - When your kiosk will no longer be active for check-in.
3. Which Volunteers? - Who is allowed to check in on this kiosk?
  1. Only Members with Background Checks
  2. Any Member
  3. Only Active Parents with Background Checks
  4. Any Active Parent
4. Default Time - Volunteer Hours are based on the amount of time a volunteer is checked in using the kiosk. If the volunteer doesn't check out, how much time should they be credited with?
5. Volunteer Forms - Which volunteer forms do you want Opportunities added from for check-in? Note: The Publish/Unpublish Dates for Check-Inmust be set on each volunteer form you want to be available.
6. Kiosk Preamble - This will show at the top of your kiosk.
7. Check-In Thank You Message - Volunteers will see this after they check in.
8. Activate Kiosk - This will activate the volunteer check-in/check-out kiosk mode on the browser you are using. The Admin will be automatically logged out of the browser and the Kiosk Mode will be activated.



Volunteer Check-In


Once an Admin Activates a Kiosk, they will automatically be logged out and the browser will display the Check-In/Check-Out screen.



When the Volunteer selects the "Check In" button, they will be taken to the Check IN screen where they can either type their name in the Search box or scroll through the presented list. Once they locate their name, they should select the "check in" button next to it.



The Volunteer will then be presented with all of the Volunteer Opportunities they are signed up for that correspond to the forms selected for that Kiosk.

Note: The Kiosk will display the Assigned Opportunities first followed by the Open/Available Opportunities. The user will see:
  1. Section Title
  2. Opportunity Name - Display As Field (or Start Time if "Display As" is blank)





Once the Volunteer clicks "select," they will be asked to "confirm and check in."


Check-In for Outdated Volunteers


The Volunteer Kiosk has a feature that will warn users when they’re checking in at a kiosk if their status/information is Outdated.  Also, once they complete the check-in process, the system will send them a reminder email to update their information and will include a link to do so.



Volunteer Check-Out


When a Volunteer is done with their assignment, they should return to the Kiosk and Check Out. This is important so that Volunteer Hours are reported correctly.



When the Volunteer selects the "Check Out" button, they will be taken to the Check OUT screen where they can either type their name in the Search box or scroll through the presented list. Once they locate their name, they should select the "check out" button next to it.



The Volunteer will then be asked to "confirm and check out."


Note:

*If a Volunteer forgets to check out at the end of their shift, they will automatically be checked out at the end of the day (11:59 p.m.) This is true no matter when the Kiosk is set to expire. Volunteer Hours will be reported based on the "Default Time" that was set for the Kiosk.

*Admins can also Manually Check Out Volunteers.

  1. Go to Volunteers / Kiosks.


  1. Select the check boxes for the Volunteers you wish to check out.
  2. Click the "check-out selected volunteers..." button.
  3. You will be asked to confirm.
