Sent Email Status/Activity
There are 2 ways you can view emails that have been sent.
1) Once an email has been sent it moves to the Communications > Quick Email > Sent tab.
This applies to ALL emails whether sent from the Quick Email tab, the People tab, or the Volunteers tab.
- Delivered means the newsletter has arrived at its destination server.
- Total Opens refers to the total number of times the newsletter was opened by any email address.
- Unique Opens refers to the number of unique email addresses that opened the newsletter.
- Total Clicks are the total number of clicks on any link in the newsletter.
- Unique Clicks are the number of email addresses that clicked on one or more links.
- Bounced means there was a technical error preventing delivery (server off-line, mailbox full, etc.).
- Invalid means the address is invalid in some way (improperly formatted, domain doesn't exist, etc.).
2) You can also view the Email Activity for each Contact Record in your database.
- Go to the user's Contact Record > Email tab.
- This displays the Subscription Lists the user belongs to, all Scheduled Email, and a record of all Sent Emails that were sent either through the Communication Tools or through People > Contacts or Volunteers.
- You can view the content of the Sent Emails by clicking the hyperlink for the Email Subject.
The "Last Activity" column indicates the current status of the Sent Emails:
- Processed - we’ve processed the email and it’s been queued up for delivery.
- Delivered - we’ve handed off the email to the destination server (or at least the next one off of our network)… from here on it’s up to the internet to put it in the user’s mailbox.
- Click - the user selected a link within the email body or chose to view the email/newsletter as a web page.
- Open - the user’s email client has opened the email body and has requested the invisible image we place at the bottom of each email, thus letting us know that it’s been seen. If the user opens the email but has their email client set to NOT load remote images, and they don’t click the “load remote images” button, we won’t know they opened it.
- Dropped - the user's email was not sent due to being unsubscribed, bounced, or a spam report. Clicking on the email subject will show more details about it, including the reason for which the email was dropped. (scroll down to the bottom) If the email address is on the Unsubscribe list the reason will say "Unsubscribed Address"; if on the Spam report list, it will say "Spam Reporting Address" and if on the Invalid Emails list, it will say "Invalid".
