Promotion Codes

Promotion codes are a way to offer a discount for users towards the purchase of an item(s).  The user enters the promotion code at check-out (or it can automatically applied) and the discount is then applied to each item that has been selected as part of the code.

At this time, only Admins who have "Forms Edit" Administrator Access can set up promotion codes.  You will need to know the following information to set them up:
  • start date
  • end date
  • method and amount of the discount
  • which SKUs receive the discount
  • code that you want to use for the Promotion Code

How A Promotion Code Can Be Used

  • To take a set dollar amount off of the purchase of individual SKUs.  (ie: $3 off of the purchase of a membership.)
  • To take a percentage off an entire category of SKUs.  (ie:  25% off the purchase of all spirit wear.)
  • To offer a discount on the Purchase of Multiple SKUs.  (ie: $5 discount on a yearbook purchase when purchased at the same time as a PTA membership.)
Example:  A $2.50 discount for Lifetime members when they purchase a membership. 
  • August 1 2016 - February 28, 2017
  • $2.50 discount
  • Applied towards the following SKUs:  Membership1, membership2
  • Code:  LIFETIME16

Setting Up Promotion Codes

To use Promo Codes on your site, you will need to set them up in the Configuration:
  • Go to Store & Forms / Configuration / Promo Codes Tab


Creating a Promotion Code

Step 1 - Go to Store & Forms / Promo Codes / Add New Code.




Step 2 - On the Overview tab:
  • Enter the name of the promo code and the dates it will be in effect.
  • Code Type: Select Manual or Automatic.
  • Code Scope: Select Entire Order, Each Form, or Each Student
When you select “Each Form”, the promo code is evaluated on a form-by-form basis (and not evaluated at all for parts of the order not associated with a form, for example, stores or fundraisers). When you select “each student”, the promo code is evaluated for each student, across forms.
  • Choose the Discount Method:
  • Relative $ - take a set dollar amount off the price of the purchase
  • Absolute $ - change the price of the products
  • Relative % - take a percentage amount off the price of the purchase
  • Choose the Discount Amount: enter the dollar or percentage amount, using a (-) sign if you are wanting to subtract.
  • Choose the Max Code Applications: the number of times the code can be applied on an order. (When set to 1, If you buy 2 different items, the code is applied to the first item. If you buy 2 of the same item, it splits the discount across the 2 items.)



Step 3 - On the Products Affected tab:
  • Included Product Categories - You can select to discount an entire category of SKUs. This is useful if you are having a sale on all spirit wear items or if you want to offer a site-wide discount. (ie: a "Black Friday" discount)

You MUST have categories assigned to your SKUs for the system to include them.
  • Included Products - You can select an individual SKU to discount or multiple SKUs from different categories.

You must select products on this screen, or the promo code will not work.

The Promo Code will be applied toward EACH included product that is PURCHASED.  If you include all spirit wear, EACH spirit wear item purchased by the user will receive the discount.  It is NOT a single discount for the entire order total.



Step 4 - On the Restrictions tab:
  • Restriction:
  • All of the selected Products - the user must purchase all of the selected SKUs to receive the discount.
  • Any of the selected Products - the user may purchase one or more of the selected SKUs to receive the discount.
  • At Least...- choose the minimum number of different SKUs (at the quantities selected) that must be purchased to receive the discount.
  • At Least Qty... - choose the minimum number of any of the SKUs (at the quantities selected) that must be purchased to receive the discount. This can include multiple purchases of the same SKU.
  • Required SKUs: Are any additional products required to apply the promo code?  And how many of each SKU are required?

Restrictions are not required for the promo code to work.  You may leave this tab blank.



Discounting Multiple Purchases

Promo Codes can also be "stacked" to apply a higher discount relative to the quantity purchased. Or you could set up the discount code to update the sales price of each item with multiple purchases.
  • The codes will be evaluated in alphabetical order.
  • Set the Code Type to Automatic and each code will automatically override the previous one as more items are selected for the order.
Example:
CODE2 - gives $12.50 off of each SKU if you order 2 (or more)
CODE3 - gives $16.67 off of each SKU if you order 3 (or more)
CODE4 - gives $18.75 off of each SKU if you order 4 (or more)


Examples & Scenarios

There are many different ways to utilize Promotion Codes on your orders.

Example 1 - Registration for chess club is $50 for the 1st student and then $40 for each additional child. Set up multiple codes.



CHESS_CODE1
  • Overview Tab - set to Automatically apply, Relative Discount, -$5.00.  (this will discount each SKU by $5, so when the user purchases 2, they will get the $10 discount on the 2nd child)
  • Products Affected Tab - select the Registration SKU
  • Restrictions Tab - All of the selected products, Registration SKU, Quantity=2
CHESS_CODE2
  • Overview Tab - set to Automatically apply, Relative Discount, -$6.67.  (this will discount each SKU by $6.67, so when the user purchases 3, they will get the $20 discount for the 2nd & 3rd children)
  • Products Affected Tab - select the Registration SKU
  • Restrictions Tab - All of the selected products, Registration SKU, Quantity=3
CHESS_CODE3
  • Overview Tab - set to Automatically apply, Relative Discount, -$7.50.  (this will discount each SKU by $7.50, so when the user purchases 4, they will get the $30 discount for the 2nd, 3rd, & 4th children)
  • Products Affected Tab - select the Registration SKU
  • Restrictions Tab - All of the selected products, Registration SKU, Quantity=4

Example 2 - Tickets to Movie Night are $10 for the 1st student and then each additional child is free. Set up multiple codes.

  • Overview Tab - set to Automatically apply, Relative Discount, -$5.00.  (this will discount each SKU by $5, so when the user purchases 2, they will get the $10 discount to make the 2nd child free)
  • Products Affected Tab - select the Movie Ticket SKU
  • Restrictions Tab - All of the selected products, Movie Ticket SKU, Quantity=2
MOVIE_CODE2
  • Overview Tab - set to Automatically apply, Relative Discount, -$6.67.  (this will discount each SKU by $6.67, so when the user purchases 3, they will get the $20 discount to make the 2nd & 3rd children free)
  • Products Affected Tab - select the Movie Ticket SKU
  • Restrictions Tab - All of the selected products, Movie Ticket SKU, Quantity=3
MOVIE_CODE3
  • Overview Tab - set to Automatically apply, Relative Discount, -$7.50.  (this will discount each SKU by $7.50, so when the user purchases 4, they will get the $30 discount to make the 2nd, 3rd, & 4th children free)
  • Products Affected Tab - select the Movie Ticket SKU
  • Restrictions Tab - All of the selected products, Movie Ticket SKU, Quantity=4

Example 3 - $20 discount when purchasing an additional registration for a sibling.


  • Overview Tab - CODE1, set to Automatically apply, Relative Discount, -$10.00.  (this will discount each SKU by $10, so when the user purchases 2, they will get the $20 off)
  • Products Affected Tab - select the Registration SKU
  • Restrictions Tab - All of the selected products, Registration SKU, Quantity=2
If you have parents that need to buy more than 2 registrations, add another code, CODE2, and adjust the price to reflect the total discount on the purchase of 3. (Total discount = $40, so 40/3 = $13.33 off each SKU purchase)
