Data Forms

Data Forms

'Data Only' Forms are forms that have no products (SKUs) attached. They are made up solely of data fields and their purpose is to merely collect information.

Turning Off the Email Receipt

When a sales form only contains data fields, it might not be necessary to send a receipt to the user after they submit it. To turn off the email receipt:
  • Go to Store & Forms > Select the Form > Email tab.

Re-Submitting Data Forms

There are times when it makes sense to allow users to update the data on a form from the previous year rather than completely filling out a new one.
  • Faculty Favorites Forms
  • Medical Forms for a School Trip
If you want users to be able to edit a previously-submitted form, change their responses, and re-submit the form:
  • Go to Store & Forms > Select the Form > Advanced Tab > Additional Form Settings.
  • The form must be a data-only form and can NOT contain any products/SKUs.
  • Change the Edit Form and Re-submit field to "Yes." (Note - you will not see this field if there are any SKUs associated with the form.)
  • The Prompt Cutoff field will appear.
Prompt Cutoff Date:
  • This is the date AFTER which the user will be prompted to review and update the form.
  • When a date is set, the form will automatically present in the Open Forms Block in the section below New Forms titled "Previously Submitted Forms Needing Review."
  • If your form is set to One Time Only, you will want to add a Cutoff Date so that the form will re-appear for the user to review.
  • You can also leave this blank if you don't want to set a date.

Forms set to allow re-submission will always be accessible when a user goes to their Profile > Forms tab > Submitted Forms. When the user selects the form, they will see an "edit this form" button if it is available to be resubmitted.

The Confirmation Receipt will show both the old and new data.

Admins can see the changes to the form by going to the Order Screen and scrolling down to the "History" section.
