Customizing the Student Form

Customizing the Student Form

The Student Form is found in the List of Open Forms.  It is Step 2 in the "Family Information" forms.

To edit/customize this form:
  • Go to People > Configuration > Student Form.
The numbers in the screen shot above correspond to the fields below.

You also have the option to control which users have access to this form.
  • Scroll down below the Preamble and Postamble.
  • Select Parents or Students or Both.

Modifying Grade Level Options

1.  Go to the People > Configuration tab. (Only administrators with Account Owner status will be able to edit the configuration settings.)
2.  Select the Student Form tab.
3.  Edit the Grade Level Choices. You can add Groups if you want to create sections (such as Lower School and Upper School) for your grade levels. You can click and drag the options into the correct section.
IMPORTANT:  Do not change current selections (such as changing one grade level to a new grade level) or you may compromise some of the data in your reports. You should add new grade levels, then remove the ones you don't need. You can edit an option name (such as changing (10th Grade to Tenth Grade) without issue. For help with modifying current options once you are live, please let us know.

Editing the List of Teachers

Many schools choose to add a list of teachers as a Custom Field in their database so they can sort their students for communication and deliveries.
Only Account Owners are able to edit the Custom Fields, but they cannot create them.  If you would like to have a custom field added to your parent or student information forms, send in a help desk ticket and one of our team members will be happy to assist you.

To edit the list of teachers presented on the Student Information Form:

1.  Go to Dashboard > People > Configuration > Custom Fields. Select the "edit" button next to the "Teacher" Label.

2.  On the Presentation tab, go to the "Options" section. Here you can edit the teacher names.
  • Be sure that the value is unique for each name. For example, if you have two teachers with the same last name (1st & 5th grade) you might want to use Jones1 and Jones5 as the values.
  • We recommend typing 2 or 3 spaces and a hard return as the first choice so that the default value of the field is blank and does not automatically default to the first choice in your list.
