Adding a PDF file to a Newsletter

The pdf file actually goes in the newsletter as a link and you link to it like a webpage.

First you need to upload the pdf file to your file manager. This is done the same way as when you add a picture or graphic.

After your file is uploaded, highlight the text (such as "click here") or the title of the pdf in your newsletter.
  1. Click the Insert/Edit Link button on the editing toolbar.
  2. Click on the file folder/magnifying glass symbol next to the URL box.
  3. Select your pdf from the file manager and choose Insert.
  4. If you want it to open in a new browser window, choose that option in the Target box.
  5. When you click OK, the the highlighted text in the newsletter should turn blue.

It's a good idea to send a test newsletter to yourself or someone else to be sure the link is working properly before you send it out to everyone.

Adding a Video to a Newsletter

Most email clients will not support an embedded video in an email. A way to get around this is to create an image that represents the video. You can insert the image into your newsletter and then link the image to your video. You will need to have the video hosted on YouTube or Vimeo or another hosting service.

  1. Upload your video to a hosting site on the web.
  2. Copy the URL.
  3. Go to the newsletter page where you want to insert the video. (Communications / Newsletters / Draft Newsletters)
  4. Choose where you want the video to go on the page, then click the "insert/edit image" button on the content editor toolbar.
  5. Choose the picture you want to use to represent the video.



  1. Once your picture has been inserted, select the picture, then click the "insert/edit link" button on the content editor toolbar.
  2. Paste the video URL into the "URL" field and click "Ok."
  3. You can test the link by saving and closing the newsletter, then sending a test copy to yourself.



Newsletter Anchors

Please Note: The Anchor Feature is currently only available within our older version of the newsletter editor (those created before 7/1/2020). For our New Newsletter Editor, it is on the list of features to add in a future upgrade.

By including an anchor tag within your newsletter page, you can place links in the newsletter that when clicked allow the reader to jump to another location on the page.
  1. Anchors are generally used when you create pages with large amounts of text. You will make an index at the top of the page that links to the anchors in the text below.
  2. Linking to anchors is very similar to normal links., but normal links always point to the top of a new page whereas anchors point to a place within the current page. 
Many email clients do not support anchors in email or newsletters, and in general, anchor links to not work in mobile email clients. The email client removes the links so they do not work. Instead of using anchor links, consider:
  1. linking to your website for people to read more
  2. linking to PDF files or Word Documents that contain more information about your topic

To link to an anchor you need to:
  1. Create the anchor itself.
  2. Create a link pointing to the anchor.
The Anchor Icon is located in the editor (looks like a bookmark, just to the right of the URL link button).




Creating the Anchor
  1. Choose the location where you want to drop an anchor. This will be where the link is going to take the reader.
  2. At that location, drop an anchor. This is the button in the newsletter editor next to the link button.
  3. Name the anchor. You cannot include any spaces in the name. Be sure to remember the name that you have chosen. For example:  Anchor_1

Linking to the Anchor
  1. Choose the location where you want to include the link to the anchor. This is usually near the top of your page.
  2. Type in the text that will serve as the link to your anchor.
  3. Highlight the text and choose the "link" button.
  4. In the URL for the link you will choose from the drop down list of Anchors or type #Anchor_1 if the drop down list does not appear.
  5. Don't forget to add the # sign before you type in the name.

Using Grammarly with Newsletters

Grammarly is a browser extension (plugin) that automatically detects grammar, spelling, punctuation, word choice, and style mistakes in your writing.

We recommend that you do NOT use this plugin for your browser with newsletters. It adds code to the background of your newsletter and that code is NOT compatible with email clients.

Every time the plugin is run, more code is added to the content, drastically changing the formatting of your newsletter. Removing all of that code is really difficult, making it necessary to re-create each newsletter from scratch.
