Creating a Calendar

New Calendars

  • Go to the Calendars tab on the Dashboard and select the "add new calendar" button.


To create the New Calendar:
1. Calendar Name - This is the system name for the calendar. Do NOT use symbols, only letters and numbers.
If you change this later, you will have to update all of the places on your site where it is referenced so the system will know where to find it.

2. Calendar Title - This is what your users will see. This can be changed later without causing issues.
3. Calendar Description - This will tell your users what type of events are on the calendar.
4. Calendar Type - Choose "Locally Hosted" for a calendar that will be maintained on your site. Choose "External via iCal Feed" for a calendar you will be integrating from another site.
5. Calendar Visibility - You can select who the calendar is available to. (Public, Members Only, Admins Only, or Hidden)
6. Colors - You can customize the colors on your calendar.  All Day events will be highlighted in a block of color you choose.
7. Save - Always remember to save your changes.


Adding Events to a Calendar

Once you have created a Calendar, the next step is to add events to it.
  • Go to the "Calendars" tab on the Dashboard.
  • Select the "add event" button next to the Calendar to which you want to add events.


  • Fill in the Event Title and the Dates & Times. You can choose whether or not you want the end time to show. If this is an "all day" event, check the box next "All Day" and do not choose a time.
  • If there is another Date/Time this event will occur, you can quickly add it by clicking the "add another time" button.
  • If this is going to be a recurring event, choose the "add recurring event" button and fill in your date/time information in the box that pops up.
  • Be sure the correct calendar name appears in the Calendar drop down field. You can change it if necessary.
  • The Description field allows you to add details about the event as well as pictures and graphics that pertain to the event. This information will be visible when users click the event on the actual calendar.



Once you Save:
  • A list of all of the events on that calendar will appear. You can add another event, by clicking on the blue "add event" button or switch to a different calendar.
  • If you need to delete or edit an event, click on the event name.
There is a known issue with Google Calendars and edited events. Instead of changing the event dates/times, it's best to delete the event and create a new one. Otherwise the change won't show up for your users that subscribe using Google Calendars.

  • To edit events from the main list of calendars, click on the blue number in the "Events" column that corresponds to the correct calendar. This will take you to the list of events for that calendar.

Incoming iCal/External Calendars

You can feed external calendars directly into the calendars on your Membership Toolkit account. This is extremely helpful for schools who wish to include district calendar events on their school calendar without typing the district events in separately or for sharing calendars between schools.

To add an external calendar to your site:
  • Obtain the URL for the external calendar. This can be done by right clicking on the "subscribe" button for the external calendar and choosing "copy link address."  (The URL should begin with either http://, https://, or webcal://.)
Please note:  this is not the URL of the calendar page from the browser's header. It is the ICS or iCal subscription feed. From the Google Calendar go to Settings > Click on Name of Calendar > Integrate Calendar > Copy the public address in iCal format feed URL.



  • On your Membership Toolkit Dashboard, go to the Calendars tab.
  • Follow the steps above to Create a New Calendar.
  • For Step #4 - Calendar Type, choose "External via iCal Feed."
  • iCal Feed URL - Paste the copied URL link from the external calendar. 
  • Refresh Interval - Choose how often you'd like the calendar updated on your site.


Once your calendar has been created, you will also either want to display it on a Website Content Page, in the Left/Right Rail of your Website, or in a Newsletter. For step by step instructions, see our article on Displaying Calendars.
